Below please find some important information regarding changes to the HRIF Reporting System as a result of the ongoing COVID-19 pandemic. If you have any questions about any of these changes or have any issues or concerns, please submit a help ticket

Please know that we are currently working with our partners at CCS to clarify guidance around authorizations and age extensions for patients who are currently three years of age but are unable to complete their third and final HRIF clinic visit due to COVID-19. We will share that information with you as soon as it becomes available.

In addition, many HRIF clinics are looking for advice and guidance on how to proceed with clinic visits during this difficult time. If you would like to share your clinic's experience, please submit a help ticket. In the help ticket form select “HRIF Database” as the Type and then “COVID-19” as the HRIF Inquiry.

Cancelled Clinic Visits

As of 3/17, “Appt Cancelled/COVID-19” has been added as an option on the Client Not Seen/Discharge (CNSD) form. Please use this new item to document any patient who had a scheduled standard visit that was rescheduled or cancelled by a parent/caregiver to reduce the spread of COVID-19 in the state of California.


TeleHealth Clinic Visits

As of 3/25, a new item Check this box if this was a TeleHealth Visit” will be added to the Standard Visit (SV) and Additional Visit (AV) forms.

While the neurological, developmental and physical exam components of a standard visit cannot be performed through a telehealth visit, it is possible to administer other components of the visit such as the history and psychosocial assessment. In the case of a SV telehealth visit, check the box indicating that the visit was done via telehealth and then select “No” when asked if a neurological/developmental assessment was performed and “Other” as the reason. The SV form can be updated at a later date to add a neurological/developmental assessment when an in-person clinic visit is held.

Accessing the HRIF Reporting System from Home 
Contact your hospital’s IT team to install a VPN (Virtual Private Network) access portal on your computer. VPN enables users to send and receive data across shared or public networks as if the computing device was directly connected to your hospital’s private network. A VPN will allow you to access the HRIF Reporting System from your home.

Reminder: Extension of Data Finalization Deadlines
  • The April 1st deadline has been extended to June 1st
  • The April 17th deadline has been extended to June 17th
  • The June 1st deadline has been extended to August 1st
